Returns are where good customer service and lost money meet. A slow return frustrates a customer; a careless refund costs you the product and the payment. Most stores do not lose money on returns because of policy. They lose it because nobody wrote down the steps, so each person handles returns a little differently.

This guide gives you a returns and refunds routine you can hand to anyone on the team: the policy decisions, how they map to Shopify’s settings, the five steps of a return, the habits that keep refunds safe, and what to prepare before the holiday returns arrive.

Start with a written policy

Before the process, settle the rules. A returns policy should answer:

  • Window. How many days after delivery can a customer start a return?
  • Condition. Unworn, with tags, in original packaging?
  • Exclusions. Final sale items, personalised products, hygiene items.
  • Who pays shipping. Free returns, a flat fee, or the customer pays.
  • Restocking fee. Whether you charge one, and on what.
  • Refund method. Original payment, store credit, or exchange.

Publish it on your store and keep the same wording in your team’s notes, so staff and customers read the same rules.

Turn the policy into Shopify settings

Several of those decisions can be set in Shopify itself, under Settings > Policies > Return and cancellation rules (return rules):

Policy decision Shopify setting
Return window Return rules: how long customers have to request a return, counted from delivery
Final sale items Products or collections marked final sale can’t be returned or cancelled through a request
Restocking fee An optional percentage of the return, editable per return
Return shipping Free return shipping, a flat fee, or the customer buys their own label
Different rules per region Market-specific rules

One detail catches teams out: Shopify states that return fees aren’t automatically deducted from refunds. Whoever issues the refund has to deduct them. Put that in your written routine.

If you want customers to start returns themselves, Shopify’s self-serve returns let them submit return or cancellation requests from the order status page once you turn the feature on (returns overview). Requests still come to you to approve or decline.

The five steps of a return

1. Request

The customer asks for a return, by email or through a self-serve request. Check the order date against the window and the items against your exclusions before you approve anything. If the request falls outside policy, reply with the reason and, if you want, an alternative such as store credit.

2. Approve and create the return

Create the return on the order so its status is visible to everyone. Note the reason the customer gave. Reasons are useful data: if one product keeps coming back as “too small”, the size chart needs fixing, not the customer. Send return shipping instructions or a label according to your policy.

3. Receive and inspect

When the parcel arrives, check the items against the return: right products, right quantity, acceptable condition. Write down what you found. If an item is damaged or missing, decide now whether to refund partly, and tell the customer why.

4. Restock or write off

Decide per item whether it goes back into stock or not. When processing a return in Shopify you can restock an item at a location you choose (processing returns). Restocking a damaged item creates the next problem: a customer receiving it. Restock only what you would sell at full price, and at the location where the item actually is.

5. Refund

Refund only after inspection, for the amount the inspection supports. In Shopify you can refund to the original payment method, to store credit, or split between the two, and refund shipping separately. Deduct any restocking or return shipping fee yourself. Then close the return so it drops off everyone’s list.

Exchanges

If the customer wants a different size or colour, an exchange sends the alternative item as part of the return, instead of a refund followed by a new order. It keeps the sale, and the record of what happened stays on one order.

Keeping refunds safe

A refund sends money out of the business and usually cannot be taken back. A few habits prevent costly mistakes:

  • Refund after inspection, not on request. Except for clear cases such as a lost parcel, wait until the item is back.
  • Limit who can refund. Shopify has separate staff permissions for refunding to the original payment method and refunding to store credit (store permissions). Not everyone who answers customer emails needs them.
  • Have a second person approve large refunds. A quick review catches a refund on the wrong order or a doubled amount.
  • Check the amount, not just the order. Partial refunds, shipping and fees are where the numbers go wrong.
  • Check the audit trail monthly. Look for refunds without a matching return, or many refunds by one person.

Common mistakes

Mistake Result Prevention
Refund before the item arrives Item never comes back Refund after inspection
Forgetting to deduct fees Refund too large Note it in the routine
Restocking a damaged item Next customer receives it Inspect before restock
Restocking at the wrong location Stock shows where the item isn’t Choose the location deliberately
Refunding the wrong order Money to the wrong customer Second check on large refunds

Preparing for holiday returns

Black Friday is November 27, 2026 and Cyber Monday November 30, and the returns from those orders arrive in December and January, often at the same time as gift returns. Before then:

  • Decide whether you extend the return window for holiday orders, and set it in your return rules.
  • Brief any seasonal staff on the routine and give them only the permissions they need; see seasonal staff access across multiple Shopify stores.
  • Agree who approves refunds during the holidays when the owner is away.

Our guide to holiday refunds, captures and discount rules covers the payment side, and a post-holiday stocktake puts returned stock back in order.

Measuring returns

Track a few numbers each month:

Metric Why it matters
Return rate per product Finds products with sizing, quality or description problems
Top return reasons Tells you what to fix on product pages
Days from request to refund Long waits drive complaints and chargebacks
Refunds without a return Can point to mistakes or misuse

With several stores, put these numbers side by side; see refund and order reports across Shopify stores.

Returns across several stores

If you run more than one store, keep one policy template and one routine for all of them, and adapt only what differs by region, such as the return address, currency or window. Creating the return and issuing the refund are Shopify features, and they work the same in every store. What several stores add is a control problem: more people with refund rights, in more admins, with no single place to check who refunded what.

FAQ

Does Shopify deduct the restocking fee from the refund automatically?

No. Shopify states that return fees aren’t automatically deducted from refunds. Deduct the restocking or return shipping fee when you create the refund.

Can I refund to store credit instead of the original payment method?

Yes. When refunding in Shopify you can choose the original payment method, store credit, or a split between the two.

Should I refund before or after the item comes back?

After, in most cases. Inspect the item first and refund the amount the inspection supports. Exceptions are clear cases such as a parcel lost in transit.

How do I stop customers returning final sale items?

Mark those products or collections as final sale in your return rules. Customers then can’t submit return requests for them through self-serve returns.
